An OST (Offline Storage Table) is an offline folder file in Microsoft Outlook that is used with Microsoft Exchange Server. It is very helpful if you are using Outlook in an offline mode or if there are internet connectivity problems at your place. Working in an offline mode is, in fact, very similar to working with a mailbox on a server. The changes made in the offline mode are reflected when connection is restored and synchronization takes place. However, sometimes the OST file can get corrupted due to various reasons. In such cases, you should take appropriate steps to repair it. However, if you are unable to repair the OST file then you should convert OST to PST using a third-party OST to PST software.

Consider a scenario wherein you use Outlook 2002 in the offline mode. You open Outlook and synchronize with the mail server. You find that you are not able to open some of the Outlook items whenever it is offline. It is behaving absolutely fine with other items.

Cause:

The most possible cause of such behavior is that the OST file is corrupt and needs to be repaired. It may have gone corrupt due to various reasons such as virus infections, human errors, synchronization issues, etc.

Resolution:

In such cases, you should scan and repair the OST file using the in-built OST Integrity Tool. To do this, you need to perform the following steps:

1. Close Outlook.

2. On the Start menu, click Run.

3. In the Open box, type

drive:\Program Files\Common Files\System\Mapi\LocaleID\scanost.exe

where LocaleID is the locale identifier (LCID) for your installation of Microsoft Office. For example, the LCID for English (United States) is 1033.

4. Click OK.

5. Click either Scan all folders or Choose folder to scan. If you click Scan all folders, this may take several minutes.

6. Select the Repair errors check box.

7. Click Begin Scan.

The OST file will be scanned and repaired using the OST Integrity Tool. However, if you are still not able to repair the OST file then you should convert OST to PST. For this, you should use a third-party OST to PST conversion software. Such read-only tools are able to perform the OST-PST conversion without overwriting the original data.

Stellar Phoenix Mailbox Exchange Desktop is an OST to PST conversion tool that enables you to convert a corrupted OST to its equivalent PST. It preserves the emails, contacts, notes, calendar entries, tasks, journals from the OST file during the OST-PST conversion. In addition, this tool ensures that the formatting of the RTF and HTML email messages is not lost during the OST to PST conversion. This convert OST to PST tool supports Outlook 2000, 2002, 2003, and 2007. It is compatible with Windows 7, Vista, Server 2003, XP, and 2000.

It is a good idea to upgrade your Microsoft Outlook email client to ensure better performance in Cached Exchange Mode. In the Cached Exchange Mode, a copy of your Exchange Server mailbox is stored locally on your hard drive in OST file format. It reduces network traffic to MS Exchange Server. If you use Microsoft Office Outlook 2003 with Microsoft Exchange Server 2003 in Cached Exchange Mode, it compresses the information while improving performance. However, under some situations, the synchronization process fails and OST (Offline Storage Table) file can not be converted into PST (Personal Storage Table). At this point, you need to manually convert OST file to PST file for connecting to the Exchange Server.

Microsoft Exchange Server enables you to change the synchronization timer valuables either by modifying the existing registry entry or creating a new one. For effective and flawless usability of Microsoft Exchange Server in the Cached Exchange Mode, you should not implement any of the below features or their combination:

Multiple Outlook Address Book containers.

Instant Messaging (IM) integration.

Toast the alert feature along with the digital signature on the emails.

In general situations, Address Book includes Contacts and the Global Address List folders. Some of the organizations configure the subsets of Global Address List, which are shown in Address Book. You should remove the third-party add-ins of Microsoft Outlook because sometimes they may cause problems.

In case the size of OST file becomes very large, synchronization issues occur that prevent OST PST conversion. The increased size of OST file makes the following impacts-

The performance of Microsoft Outlook is degraded. To sort out this problem, you need to either reduce the size of OST file or turn the Cached Exchange Mode off.

If your Public Folders Favorites include large sized public folders, the size of OST file may grow. It affects the performance of Cached Exchange environment.

If the format of OST file is ANSI and its size approaches 2 GB limit, the application may crash and synchronization process may fail.

When it occurs, you need to reduce the size of OST file by removing the unwanted contents. Then you need to convert OST to PST using third-party applications. The OST to PST conversion tools are capable of converting all sizes of OST files.

Stellar Phoenix Mailbox Exchange Desktop is the most advanced and effective utility to convert unusable OST file into a usable PST file. It works well with Microsoft Outlook 2007, 2003, 2002 (XP), and 2000.

Are you moving your Exchange Server mailbox across administrative group? You should keep in mind that the MS Outlook profile associated with the mailbox will no longer work properly. The mailbox servers might refer MS Outlook to right server after moving mailboxes, however the process doesn’t work for Exchange Server mailboxes, which are moved across administrative groups. To address such situations, ExProfre.exe (Exchange Profile Update) Tool is available. But, under some circumstances, various synchronization issues occur after you update the profile using this tool. In such cases, the OST (Offline Storage Table) file can not be converted into PST (Personal Storage Table) file. The OST to PST conversion is essential to access Exchange Server mailbox.

For example, you may run across the following synchronization issues after migrating Microsoft Exchange Server profile using the Exprofre.exe (Exchange Profile Update Tool):

Microsoft Outlook may encounter synchronization errors.

Synchronization errors may appear in synchronization log.

The organizational forms are not synchronized. Thus, the emails that require organizational form are shown without form data.

Security settings of Microsoft Outlook are not synchronized.

The favorite folders in the Public Folder are not synchronized. Items, which are added to Public Folder aren’t synchronized to client.

You may see the following entries in Synchronization Log of Microsoft Exchange Server:

“12:03:52 Synchronizer Version 11.0.6352
12:03:52 Synchronizing Mailbox 'move six'
12:03:52 Synchronizing Hierarchy

12:03:52 Error synchronizing folder
12:03:52 [80070057-501-80070057-550]
12:03:52 The client operation failed.
12:03:52 Microsoft Exchange Server Information Store
12:03:52 For more information on this failure, click the URL below:
12:03:52 http://www.microsoft.com/support/prodredirect/outlook2000_us.asp?err=80070057-501-80070057-550
12:03:53 Synchronizing server changes in folder 'Outlook 10 Security Settings'
12:03:53 Error synchronizing folder”

Cause

This behavior is caused by entryid values, which are used by Outlook to locate public folders. The values are changed when mailbox is migrated. The Exprofre.exe tool doesn’t update messaging profile or OST file.

Resolution

To sort out this behavior, you need to recreate the Microsoft Outlook profile and connect it to the migrated Exchange mailbox. For this purpose, you need to manually convert OST file and link it to Outlook profile.

You can easily convert OST to PST using advanced third-party applications. They use high-end conversion algorithms to successfully convert orphaned offline storage table file to an accessible PST file. The OST PST conversion is pretty easy and safe using these tools.

Stellar Phoenix Mailbox Exchange Desktop is the most efficient utility to perfectly convert unusable OST file to a usable PST file. The software is designed for Microsoft Outlook 2007, 2003, 2002 (XP), and 2000.

Exchange Server database mailboxes are often migrated to upgrade the existing version of Microsoft Exchange Server or to change the Exchange Server domain. However, this practice can cause serious data loss at the client end, if they are using Outlook with cached mode turned on with no backup of OST data. An Exchange mailbox contains important metadata called .ost encryption key, which is also placed in MAPI (Messaging Application Programming Interface) profile of client computer. During migration, if this key is lost from both the locations, .ost file becomes unreadable. Microsoft Outlook can directly access the .ost file data only when it exists in .pst file format. A Convert OST to PST utility comes handy when you need to convert an orphaned OST by Exchange Server to Outlook-usable PST file.

For more understanding on the concept, consider a realistic situation when an Exchange Server administrator migrates from original server to another with few of its clients having cached mode turned on. When the mailbox migration is completed, the end users want their .ost file data back in readable format.

Explanation

An Outlook user can get access to its .ost file data until the MAPI profile has not been changed. When a client tries to connect to Exchange Server in Online mode, the encryption key in MAPI profile is compared against the key placed in mailbox of Information Store database. If due to any reason, these keys differ, Information Store overwrites the key of client end and thus a new .ost file is created.

In this specific case of server migration, Information Store has been reset. In such situations, new offline keys are generated for each mailbox and won’t allow the old .ost files to have a successful synchronization with Exchange Server. So until the profile, in which the old .ost file was created, exists, you can use it to synchronize with Exchange Server and retrieve its data.

However, the best practice before server migration should be to extract all the .ost file data to readable .pst otherwise, it will create Convert OST needs. Convert OST to PST is feasible using third-party utilities, which are available in market for this specific purpose.

Stellar Phoenix Mailbox Exchange Desktop is a high-end tool that can convert an orphaned or inaccessible .ost file to readable .pst file. This Convert OST utility supports MS Outlook 2007, 2003, 2002, and 2000 and can restore all e-mails, notes, calendars, contacts, etc.

Outlook is an email application that can, sometimes, work in an offline mode with the Exchange Server. At such times, two copies are made, one at the server and the other one at the local hard disk of the user. The local copy is called the Offline Storage Table (or OST) file, which can be synchronized when the connection is restored with the Server. Such arrangements are particularly useful in places where the Internet connection is too less or unreliable. However, sometimes the OST file gets corrupt due to various reasons such as power outages, hardware malfunctioning, virus infections, etc. You should look to repair the OST using appropriate methods. If you do not succeed in repairing the OST file, then you should use a third-party OST-PST conversion software to convert OST to PST file.

Consider a scenario wherein you are using Outlook 2007 and you have made a local OST file to work in offline mode. You have noticed that the performance of Outlook has gradually degraded especially when you send, move, or delete emails. Sometimes Outlook stops responding momentarily during mail delivery or synchronization.

Cause:

In Outlook 2007, a new data structure has been introduced for OST files. Because of this data structure, the rate at which writing is done to the disk increases with the size of the OST file. This makes the performance of Outlook extremely slow, which, in turn, can make the OST file corrupt when you try to synchronize with the Server.

Resolution:

To rectify this erroneous situation, you can perform the following workarounds:

· You should reduce the size of the Exchange mailbox as then the size of the OST file will also be reduced. You can do this by deleting some emails or moving them into your PST file.

· You should use an online mode profile. This will make you have a bigger OST file instead of a cached mode profile.

· You should restrict the items that you synchronize from the Server to your OST file using a filter.

The problems will be solved by performing either of the aforesaid methods. However, there may be instances when this problems persists even after using these methods. In such cases, you should convert the corrupted OST to its equivalent PST. To do this, you should use a third-party OST to PST conversion software. Such read-only tools convert OST to PST without overwriting the existing the OST file.

Stellar Phoenix Mailbox Exchange Desktop is an OST-PST conversion software that converts corrupted OST file to its equivalent PST file. It is designed for Outlook 2007, 2003, 2002, and 2000. This convert OST to PST software successfully restores various Outlook objects such as emails, tasks, journals, contacts, calendar entries, meeting notes, etc. It is compatible with Windows 7, Vista, Server 2003, XP, and 2000.

The OST (Offline Storage Table) files in MS Outlook enable you to work in an offline mode. This is made possible because of the Cached Exchange Mode feature, which creates a local copy of Exchange mailbox of the user. The OST file is created on the hard disk of the user. Using the OST file is just like working in MS Outlook when you are connected with the Exchange Server. You can, then, synchronize the OST file with the Exchange Server when the connection is restored. However, sometimes when you try to synchronize your OST file with the Server, it fails to do so. Such situations can occur because of several reasons such as virus infections, power outages, etc. You should resort to using appropriate steps to solve this problem. If you are not able to resolve this situation, then you should use a third-party Convert OST to PST software to restore the Outlook data.

Consider a scenario wherein you are using Outlook 2007 in an offline mode. It automatically gets synchronized whenever you open Outlook. However, one day when you start Outlook the synchronization does not happen properly. Now, you are in a danger of losing the work that you performed in the offline mode.

Cause:

The root cause of such abnormal behavior could either be:

· There are virus infections in your mailbox.

· The user mailbox has been corrupted because of corruption in the Exchange Server.

· Somebody has deleted your mailbox.

Resolution:

To resolve this problem, you should use the OST Integrity Check (Scanost.exe) tool. This tool is used to scan the OST file and matches it with its copy on the Exchange Server. This tool does not make any changes on the Server copy. After it has diagnosed and fixed the gaps in the OST file, you can run the Inbox Repair (Scanpst.exe) to open the OST file in Outlook. This should resolve the issue.

However, if the OST file is still not synchronizing with the Exchange Server then you should use a third-party OST to PST converter to convert OST file to its equivalent PST file. Such tools are read-only in nature that do not overwrite the OST file while the OST-PST conversion.

Stellar Phoenix Mailbox Exchange Desktop is a OST-PST conversion software that is able to convert OST to its equivalent PST file. It is designed to perform the OST to PST conversion for the OST files created in Outlook 2007, 2003, 2002, and 2000. In addition, this Convert OST to PST utility is capable of restoring various Outlook objects such as emails, calendar items, journals, contacts, etc. It is compatible with Windows 7, Vista, Server 2003, XP, and 2000.

.PST files are very important for an Outlook user as they store all the data related to MS Outlook. Information like e-mail messages, contacts, calendars, tasks, meetings, etc are stored in a .PST file. There can be many instances when your .PST file may become corrupt. In such situations, you must use the inbuilt utility provided by Microsoft i.e. Inbox Repair Tool (Scanpst.exe). The tool works by rewriting the .PST file’s header information and then deleting things which it fails to comprehend. Therefore, it will only work when the header of the .PST file is damaged but won’t recover corrupt .PST files in other situations. You would be required to use a third-party pst repair tool which would fix any corrupt .PST file, irrespective of the reason behind corruption.

Consider a practical scenario, wherein, you start Microsoft Office Outlook 2007 in Windows Vista, and receive the following error:

“FileName.pst file could not be opened. The file may not be compatible with this version of Outlook or it may be corrupted.”

Due to the error, you are unable to access any important e-mail or do anything with your Outlook account.

Cause

The above error could surface in the following conditions:

· You might have used the Backup Status and Configuration program to back up the .PST file

· You might have used the Backup Status and Configuration program to restore the .PST file from backup

· The .PST file is in an encrypted folder

· The .PST file is corrupt

Resolution

To fix the problem and access data, you must perform the following outlook pst repair steps:

· Use Inbox Repair Tool (Scanpst.exe) to repair your .PST file; follow these steps:

1. Exit Outlook 2007

2. Click Start and go to Control Panel

3. Click User Accounts and Family Safety or User Accounts

4. Click Mail

5. Click Data Files>Personal Folders>Settings

6. Note the text in the Filename box

7. Click OK and then click Close two times

8. Click Start, type %ProgramFiles%\Microsoft Office\Office12\ in the Start Search box, and press Enter

9. Double-click Scanpst

10. Type the path and file name of the Outlook .PST file which you noted in Step 6

11. Click Start

12. After the Inbox Repair Tool finishes, click OK

The Inbox Repair tool, however, cannot scan large .PST files and repair all .PST files, therefore you must opt for a professional and safe pst recovery application.

Stellar Phoenix Outlook PST Repair is a reliable application that repairs damaged or corrupt PST file in minimal time and via simple steps. Compatible with Microsoft Outlook 2007, 2003, 2002 and 2000, the outlook pst repair utility recovers and restores all .pst file objects (e-mails, events, calendars) to a desired location.

An OST (.ost) file is an offline folder file that enables you to work offline. Working on the OST files is very much like working on any other application such as MS Word wherein you do not need any Internet connectivity. You can synchronize the folders later on when you are through with your work, or when the connection is restored with the Exchange Server. An OST file is best utilized when you are working in an organization where the Internet connectivity is limited or unreliable. However, at times the OST file can be unusable due to various reasons, such as user account is deleted from the MS Exchange server, virus infections, recovering permanently deleted emails, etc. In such cases, you should use a third-party OST to PST conversion software( http://www.convert-ost-pst.com ) to convert OST to its equivalent PST.

Consider a scenario wherein one of your colleagues has left the organization where you are working currently. The user account of the employee has been disabled and deleted by the system administrator. Now, suddenly there is a need to recover some data from the Inbox of your colleague. The emails were stored in an OST folder.

To counter this situation, you need to recover the emails of the deleted user account of the employee. However, to recover the deleted emails you need to convert the OST file to its equivalent PST file. For this, you need a third-party OST-PST conversion software. Such OST to PST conversion tools are read-only in nature that do not overwrite the existing data while scanning using sophisticated algorithms. In this way, you will be able to access the mails that were deleted from the OST file.

Stellar Phoenix Mailbox Exchange Desktop software is an OST to PST conversion software that enables you to convert OST file to its equivalent PST file. It is able to convert orphaned and damaged OST file to a working PST file. This OST-PST conversion utility enables you to restore various objects such as emails, notes, contacts, journals, calendar entries, notes, etc. It is a highly interactive tool that is able to preserve the formatting of the RTF and HTML texts in the emails. This OST to PST tool is able to display the recovered Outlook items in a 3-pane structure that is very similar to MS Outlook. This tool is supported by MS Outlook 2010 (Beta), 2007, 2003, 2002, and 2000. It is compatible with Windows 7, Vista, Server 2003, XP, and 2000.

When you need to access data from the Exchange Server mailbox or update your OST file, you have to synchronize it with Exchange Server. OST (Offline Storage) is a replica of Exchange Server mailbox, stored on client hard drive locally. When you synchronize with the Exchange Server, OST file is automatically converted into PST (Personal Storage Table) and is updated. However, if the synchronization process fails, conversion can not take place and it can not be used to access user mailbox. In such circumstances, you need to manually Convert OST to PST using third-party tools.

When you attempt to synchronize offline address list or OST file on Microsoft Exchange Server in Microsoft Office Outlook 2003, the below error message may occur in Sync Issues directory of Microsoft Outlook:

“0×8004010F An object could not be found”

When you send an email after receiving the above error, you encounter the following error in Microsoft Office Outlook 2003:

“Task ‘Microsoft Exchange Server’ reported error (0×8004010F): ‘The operation failed. An object could not be found.’”

This behavior terminates the synchronization process and you can not connect to Exchange Server. Furthermore, it halts OST to PST conversion procedure.

Root of the problem:

The problem may occur due to below mentioned reasons:

· Offline address book list objects have a missing or incorrect address list.

· Offline address book list objects include missing address list.

· The OST file is either corrupt or unusable.

Resolution

Use any of the below methods to fix this problem:

· If you view Properties in Address lists setting of Exchange System Manager, you can fix the problem by verifying the address list validity. If the list is not valid, you must add a new one.

· If you view the Properties in Offline address list setting of Exchange System Manager, verify the validity of offline address book in the Offline address list.

If the above method can not help you to fix the problem, you need to Convert OST file using third-party applications. They use advanced scanning techniques to easily convert OST file objects into PST. After conversion, the resulting PST file can be imported into Microsoft Outlook.

The OST PST conversion is quite easy with these tools as they have simple and rich graphical user interface. With read-only and non-destructive conduct, the applications are totally safe to use.

Stellar Phoenix Mailbox Exchange Desktop is the most comprehensive utility to effectively convert orphaned OST file to usable PST file. It works well with Microsoft Outlook 2007, 2003, 2002 (XP), and 2000. The software successfully converts all OST file objects, such as emails, notes, contacts, tasks, calendar entries, and more.

Microsoft Exchange Server employs a specific type of service, which discovers all the resources on network and makes the resources available to users and applications. This Microsoft Exchange Server service is called ‘Directory Service’. If Microsoft Exchange Server database gets damaged or Exchange Server computer crashes, directory service is affected and it needs to be regenerated. However, after you regenerate the directory services, OST (Offline Storage) file that is replica of Exchange Server mailbox, may not be synchronized to Exchange Server and converted into PST (Personal Storage) file. At this point, you have to manually Convert OST File into PST.

è Before you regenerate directory service, it is required that all the MS Exchange Server be online and capable of communicating to each other. Otherwise, it takes control over all public folders on other Exchange Server services and cannot communicate with the services, if you regenerate directory services on damaged Exchange Server. At this point of time, you cannot return your public folder to original server in any case.

You can regenerate directory service with the help of DS/IS Consistency Check process. It analyzes your local public and private Information Store and directory service databases of other database servers to get information about affected server. This information can be used by Microsoft Exchange Server for restoring all user mailboxes, site connectors, and directory replication connectors.

The directory regeneration process is useful for restoring your damaged Exchange Server. However, it has a significant limitation that information about individual mailboxes cannot be restored in this process. You can restore the mailbox and because user mailbox is restored, your private information store can associate the mails that is contained with particular mailboxes. In this case, you cannot still access the mailbox on Exchange Server using Microsoft Outlook email client.

Solution

You can sort out this problem by recreating the user profile for mailbox. After creating new profile and attaching your mailbox to it, Convert OST to PST and use it with newly created profile.

The OST PST conversion is best possible using advanced and efficient third-party applications. They effectively convert orphaned and unusable OST file into usable PST file. The OST to PST conversion process is pretty easy with interactive graphical user interface and safe with read-only nature.

Stellar Phoenix Mailbox Exchange Desktop software converts all sizes of OST file into an Outlook-compatible PST file. The software works well with Microsoft Outlook 2007, 2003, 2002, and 2000. It successfully converts all OST file objects, such as emails, notes, contacts, tasks, calendar items, journal, and more.
