One of the main features of Microsoft Exchange Server that enables the user to work on MS Outlook in offline mode is ‘Cached Exchange Mode’. This Cached Exchange Mode creates a local copy (OST file) of user’s MS Exchange mailbox on its hard drive. This copy of file allows the user to work offline with MS Outlook and access all the Outlook components. Changes made in the Outlook components in offline mode get automatically synchronized with the Exchange Server mailbox when the user logs on to his/her Outlook account. However, there are many situations when the synchronization process between the OST and Exchange Server mailbox fails. In such cases, the OST file becomes inaccessible, resulting in loss of data. To overcome such scenarios, the user needs to convert his file, from OST to PST to access emails with MS Outlook.

Few main scenarios under which the synchronization process fails are:

Mailbox gets corrupted/damaged due to a fatal virus attack.
Mailbox is deleted by a malicious user.
Mailbox gets corrupted due to Exchange Server damage.
User profile is updated on the Exchange Server.
Exchange database corrupted.
Mailbox account is deleted.

So, the question here arises, what is the need for OST to PST conversion?

Most Outlook users work off-line and make changes in the Outlook data. These changes are later on updated in the Exchange Server through synchronization. However, if the Outlook user fails to synchronize, then its OST file becomes unreadable. In order to access those unreadable files, user needs to convert that OST to PST file. To do so, the Outlook user needs to use an advanced Convert OST to PST file software that can systematically perform conversion.

A Convert OST to PST tool incorporates advanced conversion mechanisms to convert OST files. The easy to download software is completely non-destructive, since it performs conversion without making any changes to the original OST file. Built with interactive user-interface, the software can be used by any user who has no prior experience of conversion.

Stellar Phoenix Mailbox Exchange Desktop is an effective tool that can Convert OST to PST in three simple steps. The converted OST file can be easily accessed in MS Outlook. With recovery of almost all OST file objects (emails , journals, tasks, notes, etc.), the read only software supports MS Outlook 2003, 2002, 2000, 98 and 97, the read only tool recovers almost all OST file components.

When using an Exchange Server account, Microsoft Outlook allows you to access the mailbox folders in even offline mode. The offline folder, OST file, features the functionality of letting you work offline and synchronize the difference items with the associated mailbox, when connected to Exchange Server. But this access is permitted until the connection with Exchange Server mailbox remains intact and the OST file uncorrupted. However, if these events occur, the OST fails to synchronize. Such file requires OST Recovery solutions as an orphaned or corrupted OST is otherwise inaccesible.

For example, consider a situation when you attempt to start MS Outlook and instead of accessing the emails as normal, you receive the below error message:

“The information store could not be opened.”

This error prevents you to work offline and also, synchronize with Exchange Server.

Cause

Some typical reasons that root this issue are as follows:

· OST file is not correctly set up or configured within Outlook

· OST file is corrupt. The most common reasons that can cause OST to corrupt are immaturely stopping the OST synchronization, unexpected shutdown, and similar others.

Solution

To solve the issue that has been described above, you need to implement the below suggestions:

· OST is required to be configured to offline setup work correctly. For this, you can click Tools | Server | Microsoft Exchange | Advance and then check if the file is listed. If not, make the appropriate changes to use the file.

· If the OST is correctly configured and still you receive the above error, your OST file might be corrupted. To resolve the issue, you need to create a new OST file and/or perform OST Recovery for the damaged OST.

There are several third-party utilities available that can convert a corrupted OST to PST, a file that can be directly accessed and viewable by Microsoft Office Outlook. The OST to PST Recovery applications perform a thorough scan of corrupted Offline Folders File and generate a new PST file that can be imported within Outlook for further use. These software are easy to install and use.

Stellar Phoenix Mailbox Exchange Desktop is a reliable utility that can convert a corrupted or orphaned Outlook OST file to a PST file. The OST to PST Recovery tool supports MS Outlook 2007, 2003, 2002, and 2000. The software has an Outlook-resembling interface to view the messages. The tool is compatible with Windows 7, Vista, XP, 2003, and 2000.

When you use Outlook with Exchange Server in cached mode, you can work with offline folders to use its contents without a network connection. At successful connection with the network, the offline folder synchronizes with the server. You may get errors when trying to synchronize your Outlook Offline Folder (.ost) file with your Exchange Server mailbox. The .ost file is like a slave replica of mailbox. So, if the mailbox is deleted and also, the Exchange profile is deleted, there is no way to access the lost emails other than from backup or use Convert OST to PST tools. However, there can be other issues as well that might prevent the .ost file to synchronize with server.

For example, consider a scenario of Exchange Server account deletion. The server administrator deletes your account from server, probably because it was corrupt or some other administrative reasons. After this, when you try to synchronize the offline folder, it gives an error similar to below:

“Synchronization failed”

You cannot synchronize the folder and the OST emails cannot be accessed.

Cause

Exchange Server doesn’t allow the client computer to log in and let user to access .ost file, unless provided with correct log in information. Thus, you must prove that you are permitted to log onto the Exchange Server mailbox before the OST gives you access at local computer.

After the server mail account is deleted, server could not authenticate because no identity information is available.

Solution

· You can recover the lost emails if you have their updated copy as a .pst file. You can import these emails in Outlook.

· If the above solution doesn’t work because of backup issues, you need an effective Convert OST utility.

Convert OST to PST software are feature-rich products that use effective file conversion algorithms for an orphaned OST. These are safe applications enriched with advanced options to allow for complete conversion. They provide you graphically rich user interface and hence, you can use them without any prior technical knowledge. Also, you can these products in any set of situations when the .ost file becomes of no use for Outlook.

Stellar Phoenix Mailbox Exchange Desktop is a reliable utility to perform safe and complete Convert OST operation using high-end algorithms. It is a powerful tool that converts unusable Exchange OST file to a Outlook usable PST file without affecting the actual contents of the file.

An Outlook profile is consisted of basic email account information, such as email server name, ISP (Internet Service Provider) account password, and user name. The profile stores a unique key for Outlook Offline Folder (.ost file), which allows you to log onto Exchange Server mailbox and hence, synchronize the OST file. If the key is lost because the profile has been modified, this could make the OST file unusable with Outlook. It primarily occurs if the corresponding changes do not reflect in Exchange profile or administrator deletes the user mailbox. However, to retrieve the emails, you should consider your backup or use an effective utility that could perform Ost to Pst Recovery.

For instance, consider a situation when you unknowingly make some changes in Outlook profile that you use to synchronize with Exchange Server mailbox. After this you find that you cannot sync with Exchange and cannot open the .ost file.

Cause

Exchange Server makes an encrypted cookie from the corresponding mailbox of OST file using its ID. It then saves this cookie in your Exchange profile when you are logged into the server computer. Your Outlook profile contains this key, which is checked by Exchange each time when you try to access the .ost file. Thus, if you modify your profile, the key might get lost or replaced. As a result, you cannot authenticate to the server and the OST fails to open.

Solution

Outlook email profiles are stored in Windows registry. So, if you have a registry backup of time before you modified the profile, you can recover it by restoring the previous backup of Windows registry. After this, you need to force Outlook to use the restored profile using ‘When starting Microsoft Outlook, use this profile’ option of Outlook profile.

If the above step is not feasible, you should create a new .ost file to synchronize with Exchange. To recover emails from orphaned OST, it is suggested to use OST to PST Recovery applications. OST Recovery tools are powerful utilities designed to perform safe conversion of unusable OST file to Outlook usable PST file.

Stellar Phoenix Mailbox Exchange Desktop is a secure and advanced OST file conversion product providing rich set of features. The software enables systematic OST to PST Recovery while ensuring recovery of all email objects, notes, journals, and others. It supports Outlook 2003, 2002, 2000, 98 and 97. The tool supports Exchange Server 5, 5.5, 2000 and 2003 versions.

Microsoft Outlook, when configured to use Microsoft Exchange Server Information Service, uses Offline folder (also called .ost file) to work offline. The .ost file needs to be synchronized with Exchange Server to convert into .pst file and hence allow you to access the data. The Synchronize command connects the .ost file to the server using dial-up networking and copy all the updated contents to the file. But at times, you fail to synchronize the folder and your data remains inaccessible as the file is not converted to PST. In such cases, you need to use powerful third-party tool that could Convert OST File to a usable PST file.

For an instance, consider that you start Outlook and try to synchronize your offline folder file with Exchange Server mailbox and it gives the below error message:

“Synchronization failed”

You cannot access your email messages and other items from the file.

Cause

Possible causes that can cause above error to occur are:

· The offline folder has not been configured to synchronize

· Inappropriate profile settings for Exchange Server

· No network connection is available

· Damaged offline folder

Solution

You need to follow the below measures to solve the given problem:

· Check the ‘Synchronization’ tab under the ‘Properties’ option of the Inbox folder. The server and offline folders’ items should match with each other.

· You should check your profile settings to ensure that Microsoft Exchange Server service and mailbox mailbox as the default delivery location.

· Ensure that you are connected to your local area network when you try to synchronize

· Try to synchronize the folder manually. To do so, you can select the desired folder, click Tools menu, Synchronize and then click ‘This Folder’ or ‘All Folders’ to synchronize.

· If performing the above steps deduces that all folders can synchronize except the Inbox folder, it indicates that the offline folder is damaged. A damaged offline folder cannot convert into .pst file. Use an effective OST Repair Tool to convert the inaccessible .ost file to usable .pst file. These tools prove competent to Convert OST File to a .pst file so that it can be successfully used with Microsoft Outlook.

Stellar Phoenix Mailbox Exchange Desktop is an advanced utility to convert an unusable OST file to usable PST file that can be directly used with Microsoft Outlook. It is a safe OST Repair Tool with powerful recovery features and interactive interface. The application supports Outlook 2003, 2002, 2000, 98 and 97.

Microsoft Exchange Server uses a specific type of service, which identifies all of the resources over the network and makes those resources accessible to Exchange Server users and related applications. This special service of Microsoft Exchange Server is called Directory Service. When a Microsoft Exchange Server crash takes place, the directory service gets impacted and you have to regenerate the service. In these situations, after you regenerate the Exchange Server Directory Service, Offline Storage (OST) file on the client system could not be synchronized with Microsoft Exchange Server user mailbox and so it could not be converted in PST (Personal Storage) file. Thus, you are required to manually Convert OST to PST using specialized applications.

1-Prior to regenerate the Exchange Server directory service, all the Exchange Servers must be online and should be able to commune with one another. Otherwise, when the directory service would be regenerated on the Exchange Server database, it would take control of all the public folders or other services and thus it could not communicate with them. If you come across this situation, it becomes impossible to return to the public folder to the original server.

The procedure, which you would follow, is called the DS/IS Consistency check. It analyzes the local public and private Exchange Server Information Store database and the Directory Service database on other servers for accessing information related to the faulty server. This information could be used by Microsoft Exchange Server for restoring all of the mailboxes, site connections and directory replication connectors.

Although, this procedure helps to restore a damaged Exchange Server, but it comes with a limitation. You can not restore information of individual mailbox by regenerating Exchange Directory Service. The mailbox and the private information store might be restored. But you still be able to access the mailboxes and stored data.

In these cases, you need to recreate Exchange Server profile, which requires you to Convert OST to PST. This is best possible with the help of powerful and advanced third party OST Repair Tool.

These applications use high-end algorithms to effective convert the unusable OST file into usable PST file. These applications have self-descriptive and simple graphical interface to let you easily Convert OST File in PST. Due to read only and non destructive design of these applications, the original recovery is performed always.

Stellar Phoenix Mailbox Exchange Desktop is a commanding application make your unusable OST file usable by converting the file into PST. It supports conversion of OST files created using Microsoft Outlook 2003, XP, 2000, 98 and 97. This software is designed for Windows 2003, XP, 2000, NT4 (SP6), ME and 98SE.

Microsoft Office Outlook 2003 and later versions provide a new feature, known as Cached Exchange Mode that is in fact an improver version of the offline folder in later version of MS Outlook. The Cached Exchange Mode offers several functions to synchronize with Exchange Server and offline operations conveniently and efficiently. Exchange Recovery Mode is one of them. But in some cases, the synchronization can not take place and thus the OST file can not be converted into PST. In such situations, to access your critical data from Exchange Server, you are required to manually Convert OST to Pst.

When Microsoft Exchange Server database or the mailbox associating with OST (Offline Storage) file is reset or there are some inconsistencies between OST file and Exchange Server mailbox then Outlook will create new OST file for new mailbox. This situation occurs if you re running Microsoft Outlook 2002 and earlier versions, or running Microsoft Outlook 2003 and later versions with Cached Exchange Mode disabled and select work offline.
In this case, the old OST file would not be recognized by Microsoft Outlook and thus you can not access data stored in it. When you try to access data from OST file with Mailbox and Exchange profile, the new one would become inaccessible. In order to access data from the older OST file with new profile, you need to Convert OST File into PST.

However, when you use Microsoft Outlook 2003 and newer versions and have Cached Exchange Mode enabled, then you would see the below given error message when the Exchange mailbox is inconsistent or reset:

“Exchange is currently in recovery mode. You can either connect to your Exchange server using the network, or work offline, or cancel this logon.”

In these cases, to access data from the old OST file, it is required to convert unusable OST file into usable Pst. This is best possible with the help of power and advanced third party OST Repair Tool.

These applications are capable of converting the OST file in most of the cases and making it usable. Advanced algorithms and mechanisms are used to converts all of the OST file objects including emails, notes, contacts, calendar entries and many alike. You can easily Convert OST to Pst using these tools as they have interactive and simple graphical user interface.

Stellar Phoenix Mailbox Exchange Desktop is the most effective and advanced solution to convert the OST file. It works well with Microsoft Outlook 2003, 2002, 2000, 98 and 97. This software is designed for Microsoft Windows 2003, XP, 2000, NT4 (SP6), ME and 98 SE.

In a collaborative messaging environment with Microsoft Exchange Server, you can use email organizer tools to effectively manage your emails. The email organizer tools are installed on the client system and by using then you can organize your PST (Personal Storage) files, IMAP (Internet Messaging Access Protocol) folders and Mailboxes. These programs are also used for synchronizing the OST (Offline Storage) file with Microsoft Exchange Server database and download newly received emails from the server. But in some situations, while synchronizing the OST file with Exchange Server, several errors occur and the OST file can not be converted into PST. In such cases, to access data from the OST file, you need to manually Convert OST to PST using third party tools.

As a practical case, the MAPI errors might occur in Exchange Server Synchronization Log during fast (ICS) for full synchronization with Microsoft Outlook. This errors is usually reported as “Unspecified Error” and in some situations, it is associated with few MAPI error codes like 80040115 or 80040119.

Root of the issue

This problem generally occurs due to corruption to the Exchange Server mailbox or user profile. Due to corruption, the connection between Exchange Server database and OST file can not be established.

An exact copy of Microsoft Exchange Server mailbox is stored on the user system (client hard drive) in the form of OST file. When you connect with Exchange Server, the OST file is synchronized with Exchange Server mailbox and automatically gets converted into PST. In this case, the OST file can not be converted and thus it can not be used to access data from Exchange Server.

Resolution

To work around this issue, you are required to recreate the Exchange Server user profile. To do so, you need to have administrator privileges to log into Exchange Server. After recreating the profile, you have to manually Convert OST File into PST to use it with Exchange Server profile. The conversion is best possible with the help of OST Repair Tool.

These applications use effective mechanisms to convert unusable OST file to usable PST file. These tools have self-descriptive and interactive graphical user interface to easily and effectively Convert OST to PST. With read only and non destructive conduct, these software are completely safe to use.

Stellar Phoenix Mailbox Exchange Desktop is the most comprehensive and powerful tool to easily convert unusable OST file. This software works well with OST files created using Outlook 2003, 2002, 2000, 98 and 97. It is designed for Windows 2003, XP, 2000, NT4 (SP6), ME and 98SE.
